Privacy and Data Handling

ProcessJig is delivered as a hands-on consulting service mediated by email. This page describes what we collect, how it's handled, and what we cannot guarantee.

What we receive

When you submit the intake form, we receive: your name, email, organization, process name, and your descriptions of the process and what's not working. From that point forward, engagement-related communication happens by email.

What we store locally

Your submission, our working files, and any documents you share are stored on the operator's machine in an encrypted, non-cloud-synced location. Source content is deleted from local storage within 10 business days after your engagement closes.

What we retain

We keep anonymized learnings from each engagement to improve the toolkit — patterns like process archetype, common failure modes, what kinds of recommendations land. Organization-identifying details are removed before retention. Your specific engagement content is never surfaced in external materials, demos, marketing, or write-ups without your explicit written consent.

Email and forms — what we cannot guarantee

We use Google Workspace for email and Google Forms for intake. We delete engagement-related emails and form submissions from our visible Google storage within 10 business days post-engagement. Beyond user-visible deletion, Google's own data-retention policies apply to anything stored on their infrastructure — that's true of any service built on Google Workspace. We are not the data controller for Google's backup systems.

This is one reason we ask, on the intake form, that you not share regulated or sensitive data via this channel.

AI processing

Engagement analysis is performed using the Claude API from Anthropic. Content sent to Anthropic is processed under Anthropic's data-handling terms; we have opted out of training-data use where their terms permit. Anthropic retains prompts and outputs briefly for safety review and then deletes them, per their published privacy and trust policies.

Third parties

We do not share your data with any third party other than Anthropic (AI processing) and Google (email and form transit) as described above.

Deletion on request

If you'd like your data removed, email us. We'll confirm completion within 10 business days, with the email-infrastructure caveat above.

Beta scope

This privacy posture reflects beta-stage operations. Commercial-grade infrastructure with stronger privacy controls (e.g., end-to-end encrypted file transfer, retention-policy enforcement) is on the roadmap. Until then, we ask: please don't share regulated data (PHI, PCI, GDPR-regulated personal data) via these channels.
